If you haven’t already, check out my previous GDPR blogs, Getting Data Privacy Ready, Third Party Vendors, and Responsibility, Security and Transparency, to catch up on the latest GDPR information before reading this one.
Some data vendors go above and beyond being GDPR compliant. They can help you prepare for GDPR issues, and identify geolocation (country of origin) to flag individuals living in one of the 28 countries in the European Union (EU). These individuals require special attention to make sure their Personally identifiable information (PII) is secure, and can be easily removed if they request “to be forgotten”. A few data vendors however can actually help you prevent a GDPR lawsuit, including RingLead. So how can you be respectful of their right to privacy? Well, with a little extra technology and by following some simple processes, you’ll be GDPR compliant in no time. Here are some ways data vendors can help you be GDPR compliant as well as the Do Not Call registries:
Prevent Duplicates While Matching The Correct Data Record For The Person:
A single duplicate record could be the cause of non-compliant data. Companies that offer duplicate removal or prevention products, like RingLead, can make sure duplicate records don’t enter your CRM and that that the right records are merged together. Any EU resident requesting “to be forgotten” will cause havoc to your GDPR efforts. Imagine you have successfully removed a person’s record with their PII information, but missed the duplicate with similar PII. You attempt to contact them using the information in the duplicate record and unknowingly have violated the GDPR law.
Enrich Your Data With Verified Information:
One of the best ways to make sure your data is GDPR compliant, is to have verified contact information like mobile numbers, direct dials and email addresses. Verified contact information ensures that when you make a call or send an email, that the person is not on any “do not call” lists, or has asked to have their PII to be deleted. Companies that provide verified contact information will give you piece of mind before reaching out to prospects and also ensure that you send them the appropriate marketing material. RingLead DMS Enrichment can provide verified contact information with the highest contact and firmographic data fill rates in the industry.Document Where The Data Came From:
GDPR will affect all citizens living in the EU which means it is important to document which records contain data from EU residents. Once setting up your GDPR policies and procedures, you have to establish a process to confirm which individuals live in the EU (you would skip anyone you have not identified as a EU citizen). So, if your Country field is empty for most of your Salesforce or Marketo leads, your process will most likely fail, and you are at the mercy of the GDPR since you are not removing PII for an individual requesting “to be forgotten”. Your data providers can help by providing information on where their data is sourced from. RingLead DMS Enrichment can provide a company address, headquarter address and country code to help you easily determine where the person or company is located.
Delete any and all PII if requested:
GDPR explicitly states that all persons in the EU have the right “to be forgotten”. This means that when asked, you must be able to delete all of the personal information you have on them from your CRM without question. Your third party vendors should be able to provide you with a way to quickly and easily delete any information when asked. RingLead DMS Cleanse has a mass delete feature which was designed to simplify allow users mass delete erroneous data. Mass Delete features filters to help users identify subsets of data intended for deletion quickly and easily alleviating the burden of deleting records one at a time.
If your third party data vendors can help you prevent duplicates, enrich records with verified information, document where the data is sourced from and delete any unwanted records, than you will be able to sell and market to EU citizens with the utmost confidence. Not all data vendors can provide all tools though, so it is important to check with each one individually to see what they can offer.
Vendors such as RingLead however, can provide all of these tools in one cloud-based, fully integrated platform, simplifying the process of accurately identifying, merging and enriching records of people in your CRM and MAS such as Salesforce and Marketo. RingLead Data Management Solutions (DMS) is your one-stop-shop for all of your data management needs.
